Ecommerce Month-End Payout Reconciliation Checklist
A reliable month-end close separates payment activity, adjustments, payout release and bank cash by provider and cutoff date.

1. Freeze the period and provider list
List every payment provider and the month-end cutoff. Confirm that the expected activity exports, payout or withdrawal records and bank account coverage are complete for that period.
2. Close each provider path in the same order
For each provider: identify gross activity, record refunds, fees and disputes, match released cash, then match the bank deposit. Keep any activity that crosses the cutoff in an open-items list.
3. Finish with an exception handoff
Every unresolved item needs a provider, amount, period, evidence source, owner and next action. A close is not complete because the total looks reasonable; it is complete when remaining differences are named.
Practical checks
- Confirm provider coverage, accounting cutoff and bank accounts before close.
- Run gross activity → deductions → payout/withdrawal → bank deposit for each provider.
- List cross-period settlement items separately from current-period differences.
- Assign owner and next action to every unresolved exception.
