Shopify Clearing Account Reconciliation: A Month-End Method

A clearing balance may be legitimate when payment activity and bank settlement occur in different periods. The goal is to explain the balance, not force it to zero.

1. Fix one cutoff date

Choose the close date first. The clearing account should connect opening balance, gross payment activity, refunds and fees, released payouts, bank deposits and the closing balance as of that same cutoff.

2. Explain each movement by stage

Do not collapse gross sales, provider deductions and bank cash into one number. A legitimate residual may represent open provider activity or a payout released after the accounting cutoff.

3. Separate current timing from historical cleanup

Tag each residual by provider, original period and evidence source. Handle current-period timing items differently from old configuration or posting questions; never use broad write-offs merely to force a zero balance.

Practical checks

  1. State the opening balance and close date before starting.
  2. Bridge gross activity, refunds, fees, payout releases and bank deposits as separate movements.
  3. Tag every residual with provider, original period and evidence source.
  4. Do not force a false zero balance with an unsupported journal entry.

Frequently asked questions

Should a clearing account always be zero at month end?

No. Open payment activity and settlement timing can leave a legitimate, explainable balance at the cutoff. The control is explanation and follow-up, not a forced zero.

What makes a clearing residual ready for cleanup?

It has a known provider, period, amount, evidence path and a defined question such as timing, configuration or historical posting.
