How to Reconcile Shopify, Stripe and PayPal Payouts

Each provider has its own settlement timing, fees, reserve rules and currencies. Combining them before reconciling each path hides the actual exception.

1. Start with three separate provider ledgers

Create one bridge for Shopify, one for Stripe and one for PayPal. Each needs its own activity, deductions, payout or withdrawal, currency and bank destination before any totals are combined.

2. Match provider cash before combining channels

For each provider, use a payout or withdrawal identifier, date, amount and bank deposit. A match in one provider must not be used to offset an unexplained amount in another provider.

3. Create a channel-level exception register

Keep unmatched amounts attached to their provider and period. This makes it clear whether the next action is a bank search, a provider export review or a client question.

Practical checks

  1. Maintain separate Shopify, Stripe and PayPal bridges.
  2. Use the provider payout or withdrawal identifier for every bank match.
  3. Keep currency and bank destination visible per provider.
  4. Never net an unexplained Stripe or PayPal amount against Shopify activity.

Can I reconcile all payment providers using one sales total?

Not reliably. Each provider can settle on different dates and with different deductions, currencies and routes. Reconcile each path before combining reporting totals.
